Add a line for each piece of work with a short description, the quantity (hours or units, or just 1 for a fixed fee) and the rate. Be specific: “Logo design, three concepts plus two revision rounds” tells the client far more than “design work” and heads off questions when it is time to pay.

Tax: only if you are registered for it

This is the part freelancers most often get stuck on. If you are registered for VAT, GST or sales tax, add your tax number and a tax line at the right rate. Say how to pay, and set a due date

Use the notes field for your bank details or a payment link, and state a clear due date such as “Payment due within 14 days”. Ask the client to use the invoice number as the payment reference so you can match the money when it arrives. Easy payment is one of the main levers to get paid faster.

Keep a copy of everything
