Sales tools handle signatures a little differently from a personal inbox, but the principle is the same: build the signature once, paste the formatted version into the right field, and make sure it is added only one time per message. Here is how it works in Salesforce and in Outreach.

In Salesforce

  1. In the signature generator, build your signature and press Copy signature.
  2. Open your personal email settings in Salesforce. The basic signature field is plain text only.
  3. For a formatted signature, paste the copied signature into the email composer’s signature area when sending, or set it in the connected mail integration you use with Salesforce.
  4. If you have access to an HTML field, copy the signature HTML from the generator and paste that instead.

Because Salesforce sends mail through several paths, decide which one owns the signature so it stays consistent.

In Outreach

  1. Copy your signature from the generator.
  2. In Outreach, open Settings → Email (or the Signatures area) and create a new signature.
  3. Switch the editor to the rich view, paste the signature, and save it as your default.
  4. Outreach will attach it to sequence steps and manual sends that use the default.

Keep the image hosted

Both tools load signature images from a web address rather than storing them. Host your photo or logo at a public URL, paste that link into the generator, then copy the signature again so recipients see the image. The reasoning is in HTML email signature tips.

Avoid the double signature

The most common problem in sales tooling is a signature that shows twice, once from a template and once from an auto-append rule. Choose one source and clear the other.

Frequently asked questions

Where do I set my email signature in Salesforce?
It depends on how you send mail. In Lightning Experience your personal signature lives in your email settings, and the plain signature field is text-based. For a formatted signature, many teams paste the rich version into the email composer's signature area or rely on the connected mail tool's signature instead.
How do I add a signature in Outreach?
Outreach stores signatures in your account settings under the email or signatures section. Create a signature, switch the editor to accept pasted content, paste your copied signature, and set it as the default so it attaches to sequences and one-off sends.
Why does my signature appear twice in a sales email?
That usually means the signature is added in two places, for example once in the template and once by the auto-append setting. Pick a single source for the signature and remove it from the other so it is added only once per message.
